This position is a 60% FTE (24 hours per week) position.

Provides administrative, accounting, and basic audit support to MSU’s Office of Internal Audit. This role ensures efficient financial operations, supports audit activities, and manages purchasing and bill payment functions through the e-procurement and Banner systems while monitoring contract spending limits. Additional responsibilities include processing leave, performing annual self-inventory audits, processing procurement card payments, and coordinating travel, meetings, and other general office communications.

Department Profile:

MSU’s Office of Internal Audit is an independent, objective assurance and consulting service designed to add value to and improve the University's operations. We report administratively to the President and functionally to the Budget, Finance and Audit Committee and ultimately the Board of Trustees through the Board’s system Chief Audit Executive. We help the University accomplish its objectives by bringing a systematic, disciplined approach to evaluation and improving the effectiveness of risk management, control, and governance processes.

Essential Duties and Responsibilities:

1. Audit Support: Perform simple audit tasks as assigned, including data gathering, documentation, and testing.
2. Financial Administration: Reconcile accounts and assist in budget preparation, including support for budgets, contracts, payroll, travel, and purchasing. Monitor budgets to ensure expenditures do not exceed allocated amounts.
3. Procurement and Bill Payment: Utilize the university’s e-procurement and Banner systems to prepare requisitions and process payments. Ensure bill payments do not exceed established contract spending limits.
4. Accounting Tasks: Prepare journal entries to record expenditures, transfers, encumbrances, and other transactions.
5. Leave Processing: Process leave requests and reconcile leave records in accordance with university policies.
6. Self-Inventory Audits: Perform annual self-inventory audits to ensure asset accountability and compliance.
7. Procurement Card Payments: Process procurement card payments and reconcile related transactions.
8. Travel Coordination: Coordinate travel arrangements and assisting with travel expense processing.
9. Meeting Coordination: Schedule and coordinate meetings, including reserving rooms, preparing materials, and ensuring timely communication of meeting details.
10. Administrative Support: Answer phones, manage incoming and outgoing mail, and perform other general office duties.
11. Recordkeeping: Maintain files and records to support accounting data and financial documentation.
12. Perform related duties as assigned.

Minimum Qualifications:

Education: Bachelor’s degree

ABDs or degree pending considered (all but DISS):

 

Preferred Qualifications:

1. Bachelor’s degree in accounting or business.
2. Experience in fund accounting.

Knowledge, Skills, and Abilities:

1. Ability to communicate effectively, both orally and in writing.
2. Strong organizational and time management skills.
3. Proficiency using Microsoft Office Suite (Excel, Word, PowerPoint) and handling office tasks (i.e., phone calls, mail, and general administrative work.)
4. Attention to detail and ability to maintain accuracy in documentation.

Working Conditions and Physical Effort

1. No or very limited physical effort required.
2. No or very limited exposure to physical risk.
3. Work is normally performed in a typical interior/office work environment.
