Assistant Athletic Director, Business Operations

Position Function:

Provides financial management and operational oversight for the Department of Athletics. This position assists the Associate AD for Business Operations with daily operations of the Athletic Business Office (ABO), leads revenue accounting, supports budgeting and reporting, and oversees contract management. The role also includes advanced financial analytics, dashboard management, and process improvement efforts, including account code restructuring and private charter oversight.

Employees hired into Intermittent positions are limited to working no more than 720 hours per fiscal year.

Essential Duties and Responsibilities:

• Lead the management and communication of the Tableau financial dashboard, ensuring timely publishing, data accuracy, and reconciliation to Banner.
• Serve as primary manager for private jet and charter use oversight, including financial tracking and reconciliation.
• Oversee all revenue accounting and tracking, including deposits and monthly sales tax submissions.
• Serve as primary budget manager for assigned sports and units.
• Provide oversight of procurement and contracts for assigned units, including BullyBuy, Direct Pay, and vendor contract processes.
• Act as secondary supervisor of all day-to-day ABO functions; serve as primary supervisor in the absence of the Associate AD for Business Operations.
• Provide oversight and training to ensure compliance with university and NCAA financial policies.
• Assist with the management of asset tags.
• Perform and ensure execution of accounting activities within the ABO.
• Provide account reconciliation support across multiple financial platforms.
• Support data and analytics efforts in partnership with department leadership.
• Assist with the preparation of the NCAA, EADA and IHL annual reports, with a focus on revenue reporting.
• Assist the Senior Associate AD/Business Affairs with developing business data and analytics structure.
• Participate in special projects as assigned, including but not limited to:
oLead the restructuring of revenue accounting in collaboration with departmental leadership.
oAssist/support revised fund/org/account code structure and translate to Tableau dashboard.
oCreation of 5-7 year financial model.
• Serve as primary backup approver for CAPS rosters.
• Perform other duties as assigned.

Supervisory Responsibility
Supervise the Director of Business Operations and 1–2 Assistant Directors of Business Operations.

Minimum Qualifications:

Bachelor's degree in Accounting, Finance, Sports Management, or related field with three (3) years of experience in collegiate athletics, professional sports, or related field.

Preferred Qualifications:

1. Master’s Degree in Business Administration, Accountancy, Public Administration, or Sports Administration.
2. Certified Public Accountant (CPA).
3. Five or more years of related experience.
4. Experience in EADA/NCAA reporting.
5. Demonstrates ability to explain, advocate, and express facts and ideas in a convincing manner.
6. Proven ability to demonstrate strong communication skills, both orally and written.
7. Strong interpersonal skills to interact with a diverse group of constituents.
8. Strong critical-thinking skills and problem-solving skills.

Knowledge, Skills, and Abilities:

• Ability to prepare financial reports.
• Knowledge of payroll policies and procedures.
• Knowledge of university accounting procedures involving procurement, travel, and/or employment.
• Ability to perform accounting procedures.
• Ability to analyze and solve problems.
• Knowledge of cash management principles and/or procedures.
• Account reconciliation skills.
• Ability to use Microsoft Office suite.

Working Conditions and Physical Effort

• Frequent external imposed deadlines; set and revised beyond one’s control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; meeting of deadlines and coordination of unrelated activities are key to position; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis.
• No unusual physical requirements.
• Requires limited lifting of files and records and nearly all work is performed in a comfortable indoor facility.
• Job frequently requires walking, sitting, reaching, talking, hearing, and handling objects with hands.
• Vision requirements: Ability to see information in print and/or electronically.
