Position Function:
Responsible for coordinating and/or overseeing preparation of conference facility to accommodate all conference, social and internal events and provide on-site coordination as the client's liaison during meetings and events held in the facility.
Salary Grade: 11

The Mississippi State University Riley Center is a Performing Arts and Conference Center that opened in 2006 in Meridian, Mississippi. We host more than 25 performing arts events as well as over 100 conference events each year. Visit www.msurileycenter.com for more information.
Essential Duties and Responsibilities:
Serve as on-site event coordinator for all assigned client and internal events held in the center;
Coordinate event logistics, including catering selections, room layouts, audio-visual setups, and signage placement.
Efficient use of EMS (scheduling software) to determine what meetings and events are taking place, when and where throughout the facility, set up needs, catering and other services required;
Interact with events manager or internal representative responsible for each event to ascertain a clear understanding of expectations and critical areas requiring special attention or flexibility;
Ensure all meeting spaces are set according to event confirmation details for the event, and that meeting spaces are appropriately torn down or re-set and cleaned in a timely manner at the event's conclusion;
Assist with set up, tear down and clean up.
Conduct routine site evaluations to ensure facility is properly prepared for events and cleaned up following events, reporting any areas of concern to Events Manager or other staff as appropriate;
Coordinate on-site activities with caterers, IT/AV support, musicians, florists, speakers, security, etc., to ensure all services are provided according to schedule, meet client expectations and MSU's operational standards;
Interact with clients throughout the phases of events, responding to requests, resolving issues and making adjustments to ensure a successful event experience;
Conduct and maintain inventory of conference center supplies ensuring all materials are efficiently stocked and organized in appropriate areas for easy access/use;
Demonstrate professionalism, customer service, and attention to detail consistent with the standards and reputation of the MSU Riley Center.
And, other duties as assigned.
Minimum Qualifications:
High school diploma or equivalent. Four years related work experience. Proficient computer skills required. Requires excellent communication and customer service skills to interact with clients and vendors.

Any equivalent combination of related experience and/or education approved by the Department of Human Resources Management.
Preferred Qualifications:
Some college work successfully completed.

Working Conditions and Physical Effort
Position requires physical activity, standing on your feet or moving through the facility, lifting, carrying and moving equipment.
Position requires flexible hours and ability to work a flexible schedule including early mornings, nights and weekends.
Conditions may require set-up changes involving moving tables, chairs, staging and other event related equipment and materials.
