Position Function:

Responsible for verifying and documenting incoming shipments at the Mississippi State University Receiving Station, ensuring accurate delivery to departments, and maintaining corresponding records. This role establishes the point of obligation, liability, and accountability for goods received on behalf of Mississippi State University and supports administrative and operational functions related to receiving and delivery.

Essential Duties and Responsibilities:

1. Keep warehouse and dock areas clean and organized.
2. Unload incoming freight and inspect for damage, overages, or shortages.
3. Verify shipments against freight bills, packing lists, and purchase orders using BANNER Finance, Bully Buy E-Procurement, and electronic tracking systems.
4. Answer and route incoming calls, file receipts and related documents, and communicate with departments regarding issues, delivery status, and other concerns.
5. Scan and log shipments according to established guidelines.
6. Document discrepancies in tracking systems and carrier documents; obtain carrier signatures for acknowledgment and coordinate with shipping clients.
7. Take digital photos of questionable freight and attach to electronic records.
8. Label packages for delivery zones and departments using tracking system-generated labels.
9. Coordinate delivery schedules with delivery crew to meet established timetables.
10. Prioritize time-sensitive shipments and coordinate expedited delivery with delivery crew.
11. Investigate misdirected shipments and assist departments in resolving post-delivery discrepancies.
12. Prepare reports including transaction volumes, discrepancies, and productivity metrics.
13. Maintain accurate inventory records and appropriately label surplus/disposal items.
14. Assist with salvage and e-waste, including item shelving, equipment loading, and disposal arrangements.
15. Drive university vehicles to deliver freight as needed.
16. Perform other related duties as assigned.

Minimum Qualifications:

1. High school diploma or equivalent.
2. One year of related experience.
3. Valid driver’s license required for positions involving vehicle operation.

Knowledge, Skills, and Abilities:

Duties require basic physical and mental skills and abilities, including the use of computers, office equipment, vehicles, hand trucks, pallet jacks.
Ability to accurately check handbills against freight and visually inspect the condition of incoming freight.
Ability to perform physically demanding tasks such as loading and unloading freight.
Ability to efficiently manage time to ensure timely delivery and pick-up of freight.
Effective communication skills to coordinate with departments and report any issues or discrepancies.

Working Conditions and Physical Effort

1. While performing the duties of this job, the employee is regularly required to stand; walk; use hands to handle or feel; reach with arms and hands; stoop, bend, or kneel; talk and hear.
2. The employee is regularly required to lift and/or move up to and frequently over 75 lbs.
3. Employees in this position are regularly exposed to fumes or airborne particles, and outside weather conditions.
4. The noise level is moderate.
