This position with collaboration from faculty in the Center for 4-H Youth Development, manages planning and arrangement of events and activities conducted both on and off campus to engage 4-H youth volunteers, and parents with the programs and activities offered by the Center for 4-H Youth Development.

Salary Grade:  15

Essential Duties and Responsibilities:

1. Manages planning and arrangement of trainings, conferences, meetings, workshops, events, etc. including speakers, agendas, materials, etc. for the Center for 4-H Youth Development.
2. Manages event details including communication, venues, presenters, materials, catering, and technology ensuring each is arranged and completed in an appropriate and timely manner. Organizes and executes administrative aspects of event operations such as invitations, RSVP lists, and timelines.
3. Collaborates with vendors related to the sourcing/procurement and distribution of promotional materials utilized at marketing events. I.e., obtaining quotes, selection of vendors, managing logistics, providing and/or reviewing copy, managing vendor payment. Assists in reviewing quotes to ensure that fair and reasonable pricing is recommended for approval.
4. Coordinates event logistics to include coordinating suitable location, arranging travel for guests (transportation and lodging), arranging catering/food, audio visual equipment, security, parking, and clean up.
5. Builds and maintains relationships with key stakeholders, during and after events.
6. Maintains calendar of events in order to provide effective long-term planning and event management, anticipating competing events and prioritizing planning to ensure each event is successful.
7. Manages event deadlines, tracks progress, and ensures event stays on track.
8. Works closely with communications, administration, and finance staff to oversee and facilitate event processes.
9. Performs post-event strategic analysis, including budget recaps and results of participant feedback to assess the success of the event, determining where improvements are needed and adjusting future strategies based on these determinations.
10. Prepares follow up communication when needed, including thank you notes from staff and 4-H’ers..
11. Performs other job-related duties as assigned.

Minimum Qualifications:

Education: Bachelor's degree in Agriculture, Family and Consumer Science, Education or a related field.
Experience: Three (3) years experience working in a youth development organization.
Licensures:
*Must have a valid driver's license and be willing to travel locally, statewide, and nationally if necessary.
*Must pass a background check.

Rank and salary will be commensurate with education and experience.

Preferred Qualifications:

1. A Masters degree.
2. Experience in 4-H youth development programs and teaching methodologies.
3. Skilled in group facilitation.
4. Knowledge in grant writing and scholarly activities.
5. Ability to create marketing materials related to the program.

1. Ability to communicate effectively, both verbally and in writing, with individuals, groups and through mass media.
2. Ability to work a flexible schedule which includes nights, weekends, and overnight travel.
3. Demonstrate ability to work independently, manage multiple projects, and build data bases for each project.
4. Ability to lift, move, and transport programmatic supplies and equipment as well as extended periods of standing to perform educational activities.
5. Ability to work in a team environment.
6. Organizational skills needed to facilitate complex programs.
7. Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
8. Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources.
9. Skill in organizing resources and establishing priorities.
10. Ability to develop, plan, and implement short- and long-range goals.
11. Knowledge of conference facilities, technology, and equipment.
12. Ability to create, compose, and edit written materials.
13. Ability to investigate and analyze information and draw conclusions.
14. Knowledge of finance, accounting, budgeting, and cost control procedures.
15. Knowledge of public institution purchasing principles, procedures, regulations, and standards.
16. Ability to perform complex tasks and to prioritize multiple projects.

Working Conditions and Physical Effort

• No or very limited exposure to physical risk.
• Work is normally performed in a typical interior/office work environment.
• Considerable physical activity. Requires heavy physical work; heavy lifting, pushing, or pulling required of objects up to 50 pounds. Physical work is a primary part (more than 70%) of job.
• Work may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
