Position Function:
The Inventory & Property Control Manager serves as the contact for all property control, fleet management, physical security, and all shipping/receiving functions for Information Technology Services (ITS). This position also coordinates warranty returns for ITS units and is involved with ITS employee onboarding and offboarding.

Essential Duties and Responsibilities:
The below are intended as illustrations of the various types of duties and responsibilities assigned to the Inventory & Property Control Manager position. The absence of specific statements of duties and responsibilities does not exclude the assignment of other duties suitable for this position.
Inventory:
1. Serve as department liaison to MSU Property Control.
2. Directly responsible for management of property control for all ITS. There are currently 12 separate account codes, involving three different departments and two different campuses, consisting of over 3,600 items valued over $14.5M, located in almost every building on campus.
3. Ensure accurate and timely submission of acquisitions, disposals, and transfers of property.
4. Coordinate all equipment trade-ins to ensure proper accounting of property.
5. File Police reports for any lost/stolen equipment as needed.
6. Responsible for the coordination of all property audits to ensure compliance with state, federal, and university regulations.
7. Use Banner to ensure accountability, accuracy, and balance of funds designated as inventory expenditures.
8. Maintain property database with all inventory items and history.
9. Assist ITS business office with identifying items for inventory at time of order to ensure proper coding of financial documents.
Fleet Management:
1. Serve as Fleet Administrator for ITS.
2. Ensure proper care and upkeep of fleet.
3. Manages fuel PIN maintenance through MSU Transportation and Fuelman by issuing and revoking access for employees as needed.
4. Manage maintenance and fuel records and supporting data entry in the MSU Property Control database system in a timely manner.
5. Coordinate purchase of new vehicles for ITS, including ensuring compliance with purchase regulations, gathering quotes, processing orders, affixing proper MSU identification to vehicle, and all other fleet and inventory related duties.
Physical Security:
1. Function as Key Control Manager for ITS.
2. Work with the university Key Shop to ensure proper designation of keys to new spaces.
3. Issue keys for all ITS spaces and maintain database records of all keys.
4. Work with other departments to maintain current keys to other building spaces as needed for Network Infrastructure and Technology Classroom maintenance.
5. Maintain Access Control for all ITS spaces, granting and revoking access as needed.
6. Manages electronic access to ITS-controlled work areas.
7. Responsible for confidential alarm code maintenance for ITS spaces.
General:
1. Maintain employee information for use with inventory, fleet management, keys, card access, alarm control, and phone lists.
2. Process all outgoing shipments and submit paperwork to business office for accounting purposes.
3. Process all incoming orders for distribution within ITS.
4. Process Return Merchandise Authorizations (RMAs) for equipment under warranty and service contracts.
5. Maintain various fillable forms for departmental access through secured intranet.
Supervisory Responsibility:
Receives minimal supervision from Directors within ITS.
Oversees student workers and/or graduate assistants.
Minimum Qualifications:
Bachelor's degree in Business or a related field and 3-5 years of experience.
Substitutions allowed: Any combination of education and experience approved by HRM.
Knowledge, Skills, and Abilities:
1. Experience with Microsoft Office applications (Access, Excel, and Word).
2. Skill in organizing resources and establishing priorities.
3. Meets time sensitive task and project deadlines.

Working Conditions and Physical Effort
1. Ability to lift up to 50 lbs.
2. Ability to climb ladders and perform tasks while on ladders.
3. Ability to work effectively with a wide range of co-workers, administrators, outside departments, and vendors.
