Position Function:
This position oversees a variety of associated administrative, staff support, and planning activities for the Business Office, some of which require advanced or specialized knowledge and skills such as recordkeeping, and database management. May coordinate specified administrative activities and report across multiple organizational units within a department.
Salary Grade: 11

Essential Duties and Responsibilities:
1. Oversee and/or performs a range of diverse administrative activities for the Business Office; serves as a central point of liaison with other departments and external constituencies in the resolution of a variety of day-to-day matters concerning the lab.
2. Utilizes knowledge and understanding of underlying operational issues to create, compose, and edit technical and/or administrative correspondence and documentation.
3. Assists in administrative problem solving, program/project planning, development, and execution of stated goals and objectives.
4. General office supply purchasing, create monthly route log, create brochures/flyers to inform clients of new information, policies, and procedures, enter weekly Fuelman data into Recoup/Assetworks system, provide monthly vehicle MPG report, maintain and review vehicle binders, issue Fuelman numbers to new employees, and paying invoices.
5. Process weekly UPS invoices; categorize and reconcile charges per department.
6. Assisting staff in the Business Office when needed.
7. Provides and/or oversees support activities for the Business Office such as answering telephones, assisting, resolving problems, and inquiries of visitors, reviewing and controlling incoming and outgoing correspondence, and follow-up on operational commitments.
8. Establishes, updates, and maintains unit files and records; implements and maintains data management systems, as required.
9. All other duties as assigned.
Minimum Qualifications:
Education: High school diploma
Experience (yrs.): 4-6 years Directly related to the duties and responsibilities specified.
Substitution allowed:
Indicated education is required; no substitutions allowed.
When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
Preferred Qualifications:
1. Bachelor’s degree in accounting or business.
2. Experience in fund accounting.
Knowledge, Skills, and Abilities:
* Excellent written and verbal communication skills.
* Working knowledge of word processing, spreadsheet, and database software packages such as Adobe Acrobat, Canva, PowerPoint, Visio, and Microsoft Excel.
Working Conditions and Physical Effort
* Work is normally performed in a typical interior/office work environment.
* No or very limited exposure to physical risk.
* No or very limited physical effort required.
* Vision requirements: Ability to see information in print and/or electronically.
