Position Function:
Performs a variety of basic to complex office support and/or administrative duties for the University Police Department, which requires a range of skills and knowledge of organizational policies and procedures.

Department Profile:
Mississippi State University Police Department is charged with providing for the safety of all the students, faculty, staff, and guests who attend class, work, live, and visit our campus, and with the security of university buildings and property. The department provides a comprehensive array of law enforcement services through a dedicated staff of more than 35 sworn, state commissioned police officers and 10 full-time support personnel. All MSU Police officers are certified by the Mississippi Peace Officers Minimum Standards Commission and have the same authorities and must meet the same expectations as law enforcement officers in any community.

Essential Duties and Responsibilities:
1. Performs a wide variety of clerical duties which could be confidential in nature to include; preparing the morning report, creates and maintains arrest and incident report files, enters traffic citations into our T2 system and provides background and records checks as requested.
2. Greet and direct visitors, resolve routine administrative problems and answer inquiries concerning the operations of the police department and the records office.
3. Answer telephone calls, route calls, take messages and provide general information.
4. Conducts budgetary functions such as accepts payment for fingerprints, incident reports, traffic citations and other invoices for support. Logs payments received, provides receipts to customers and makes deposits according to MSU's cash handling policies.
5. Establish, maintain and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analysis and calculations in the processing of data for recuring internal reports.
6. Sort, screen and distribute incoming and outgoing mail; drafts or prepares responses to routine inquiries; prepares photocopies and facsimiles and operates a variety of office equipment.
7. Arrange meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining one or more individual schedules; makes travel arrangements directly or through travel agencies.
8. Order, stock and distribute office supplies.
9. Performs miscellaneous job-related duties as assigned.
Minimum Qualifications:
Education: High School diploma.
Experience: Two to four years in a clerical or office setting.
Preferred Qualifications:
Friendly, outgoing, customer service focused who will often be the first contact when visiting the police department.
Knowledge, Skills, and Abilities:
1. Ability to maintain confidentiality of records and information.
2. Ability to communicate effectively orally and in writing.
3. Ability to perform budgeting and accounting procedures.
4. Skilled in the use of operating basic office equipment and records maintenance skills.
5. Ability to create, compose and edit written material.
6. Great organizational and receptionist skills.
Working Conditions and Physical Effort
Work is normally performed in an office work environment. No or very limited exposure to physical risks and limited physical effort required.
