Position Function:
Reporting to the Director of Fiscal Affairs for Campus Services, the Assistant Director is responsible for the management, supervision, and coordination of departmental business operations, including purchasing/procurement, warehousing, inventory, payroll, departmental billing, budgeting, and reporting.

Essential Duties and Responsibilities:
1. Provide direction, management, and oversight of purchasing/procurement, warehousing, inventory, payroll, departmental billing, budgeting, and reporting
2. Implement strong processes, procedures, and internal controls for all business functions, particularly the purchasing function.
3. Supervise & direct personnel, including work allocation, training, and problem resolution; evaluate performance and make recommendations for personnel actions; motivate employees to achieve peak productivity and performance.
4. Communicate regularly with the Director of Fiscal Affairs; prepare reports, special analyses, and information reports; present recommendations for changes and/or improvements, monetary control, and adherence to budgets.
5. Develop long and short-range plans, direct staff, promote consistent standards, and ensure applicable procedures are followed in all business functions.
6. Implement financial controls and ensure adherence to all business functions; ensure compliance with university policies and procedures, state, and federal regulations.
7. Audit & analyze financial reports for accuracy and conformance to university and departmental policies and procedures.
8. Coordinate and process personnel actions, as appropriate.
9. Develop and implement systems to maintain records on employees, inventories, and compliance activities.
10. Evaluate and/or negotiate contracts for the purchase of services in coordination with the university purchasing department.
11. Perform related duties as assigned

Minimum Qualifications:
Education
Bachelor's degree with a focus in Business Administration, Accounting, Finance, or related field
Experience
Three years of experience in managing accounting and/or business operations and purchasing functions.
Preferred Qualifications:
Five years of work experience directly related to University or general fund accounting and/or purchasing function with strong management and communications skills. Experience in Banner and AiM applications.
Knowledge, Skills, and Abilities:
1. Knowledge of budgeting, financial management, and internal control principles.
2. Knowledge of organizational policies, procedures, and compliance requirements.
3. Experience with Microsoft Office applications (Access, Excel, and Word).
4. Skill in supervising and coordinating the work of staff.
5. Skill in analyzing information and preparing clear, concise reports.
6. Ability to plan, organize, and manage multiple operational functions effectively.
7. Ability to communicate and collaborate effectively with leadership, staff, and external partners.
Working Conditions and Physical Effort
• Difficult to anticipate the nature of the volume of work with certainty beyond a few days.
• Frequent, externally imposed deadlines set and revised beyond the incumbent’s control.
• Meeting deadlines and coordination of unrelated activities are key to the position.
• Frequent walking, sitting, reaching, talking, hearing, and handling objects with hands required.
• Job requires standing, stooping, kneeling, crouching, crawling, and lifting up to 10 pounds.
• Vision requirements: Ability to see information in print and/or electronically.
